Commercial Property Winter Preparation: Preventing Freeze-Ups At Your Business Property

Every winter, we field calls from property owners dealing with the same two losses: a heating system that failed during a cold snap, and a burst pipe in a space that was colder than anyone realized. Both are usually preventable, and both trace back to work that should have happened in September or October.

Service Heating Equipment Before You Need It

Annual professional servicing of your HVAC equipment is the single highest-value item on any fall maintenance list. Most property owners service heating equipment in the fall and cooling equipment in the spring. If your building runs packaged rooftop units that handle both, those are typically serviced once per year, and fall is the right time.

A service visit does more than confirm the unit fires. A technician checks combustion, verifies safety controls, replaces filters, inspects venting for blockage or corrosion, and flags components that are near the end of their service life. Finding a cracked heat exchanger in October means scheduling a repair. Finding it in January means an emergency call, tenants without heat, and the possibility of frozen pipes throughout the building.

Keep the invoices. A documented service history supports your position if a carrier questions whether a mechanical breakdown resulted from wear, neglect, or a covered cause, and it demonstrates to underwriters that the property is actively managed.

Windows and Doors Are Where Heat Escapes

Windows and doors are the most common sources of drafts and heat loss in older New England buildings. Walk the perimeter of each floor and examine weather stripping for cracks, gaps, compression damage, or material that has simply gone brittle. Replacing worn stripping is inexpensive, keeps cold air out, and meaningfully reduces the risk of freeze-ups in exterior walls where supply lines run.

Pay particular attention to spaces that are heated inconsistently: vacant tenant suites, stairwells, storage areas, and unoccupied upper floors. These are where freeze-ups begin, because nobody is in the room to notice the cold. A weekly walkthrough during cold stretches catches problems while they are still inexpensive.

The Freeze-Up Claim Nobody Budgets For

A frozen supply line that lets go over a weekend can release thousands of gallons before anyone arrives. The water damage is only part of the cost. There is cleanup, mold remediation, tenant displacement, and lost rental income while the space is unusable. Some policies also carry conditions requiring that heat be maintained or that water be shut off and systems drained in vacant buildings, and a violation of those conditions can complicate a claim.

That last point catches owners off guard more than any other, particularly on properties with seasonal or partially vacant space, which are common throughout the Berkshires.
